Information collected

Depending on your interaction with the practice, information collected may include:

• Your name, email address and optional phone number.
• Your selected offering, preferred appointment times and time zone.
• Information you choose to share about your interests, personal questions and previous hypnosis experiences.
• Information reasonably necessary to discuss suitability, provide your session and support follow-up.
• Booking correspondence, consent choices and payment confirmations.
• Audio recordings of the agreed portion of your session, with your informed consent.

Please avoid providing detailed medical histories, financial account information or sensitive information about other people in an initial inquiry.

How information is used

Your information is used to respond to inquiries, arrange appointments, discuss suitability, provide agreed services, deliver recordings, manage payments and support follow-up.

Information may also be used to maintain necessary business records, address concerns and fulfil legal obligations. Personal information is not sold.

If information is needed for a new purpose, that purpose will be explained and additional consent obtained where required.

Inquiries and booking

When you submit an inquiry form, the information you provide is sent to Sine by email so she can respond. Submitting a form does not confirm an appointment or subscribe you to promotional updates.

Appointments are arranged manually. Once a session date is agreed, payment instructions are provided separately.

For e-Transfer payments, the practice receives transaction information made available by the financial institution, such as the sender’s name, amount and payment reference. Please avoid including sensitive session details in payment messages.

Session recordings and delivery

With your informed consent, the agreed portion of your session is audio-recorded using my phone for your personal reflection. The recording arrangements are explained before recording begins.

Your recording is sent privately through WhatsApp or email, as agreed with you. Receiving it does not require a separate access request. Please contact me if you have not received your recording.

Before delivery, we will confirm your contact details and discuss the delivery method. WhatsApp and email involve third-party services, and ordinary email is not guaranteed to be confidential. If you have concerns about either method, please raise them before your session so we can discuss an appropriate alternative.

Please protect recordings you receive or download and consider the privacy of anyone mentioned before sharing them. Copies you download or share are outside the practice’s direct control. The practice remains responsible for copies it holds.

Testimonials and public sharing

Permission to record a session is separate from permission to publish material from it.

Testimonials, personal stories and recording excerpts are shared publicly only with your separate, express permission. Your written permission will identify the material covered, permitted editing, publication channels, whether your name or voice may appear, and the publication period.

Agreeing to a session does not authorize public sharing. Declining publicity does not affect your access to services.

Removing your name does not necessarily make your voice or story unrecognizable. Information identifying other people will not be included without an appropriate basis for doing so.

You may email qhhtbysine@gmail.com to withdraw permission for future use. Subject to applicable legal requirements, further use will stop and material under the practice’s control will be removed. Copies independently downloaded, cached or reposted by others may not be recoverable.

Optional email updates

If you choose to subscribe, Prism Within by Sine may send occasional emails about news, resources, events and offerings.

Subscribing is optional. Making an inquiry or booking a session does not automatically subscribe you.

You can unsubscribe using the instructions in an update email or by contacting qhhtbysine@gmail.com. Unsubscribe requests will be processed within 10 business days.

Unsubscribing from promotional updates does not prevent necessary correspondence about an existing inquiry, appointment, payment or recording.

Service providers and external resources

The website is hosted by Vercel. Resend sends inquiry-form details to Sine by email, and Gmail provides the receiving inbox. Session recordings are made using Voice Memos and may be delivered through WhatsApp or email, as agreed with you.

These providers process information needed to provide their services. For example, Vercel may process website requests and analytics data, and Resend processes the information submitted through an inquiry form to deliver the notification. Gmail, WhatsApp and email providers may process message content and delivery information.

We use Vercel Web Analytics to understand overall website traffic and improve the website. It may process page views, visit times, referring websites, device and browser details, and approximate location. Vercel says Web Analytics does not use third-party cookies and discards its visitor-session identifier after 24 hours. See Vercel’s Web Analytics privacy information.

Google Tag Manager is used to load and manage website tags. Depending on which tags are enabled, Google and other providers may receive information about your visit, such as pages viewed, device and browser details, and interactions; tags may also use cookies or similar technologies. Some resource-library thumbnails are hosted externally. When your browser loads one, or when you follow a link to another service such as YouTube, that provider may receive technical information such as your IP address, browser details and the page that referred you.

Some providers may process or store information outside Canada, where it may be subject to the laws of those locations. Prism Within by Sine remains responsible for taking appropriate steps to protect information handled by its service providers.

Voice Memos cloud upload and backup are turned off for session recordings. Copies sent through WhatsApp or email are handled by those services.

Retention and deletion

Personal information is kept only as long as reasonably necessary for its identified purpose and applicable legal requirements. Different records may require different retention periods.

Private session recordings are kept only as long as reasonably necessary to deliver your recording and provide agreed follow-up, then deleted unless a specific legal obligation requires longer retention. This includes copies under the practice’s control in Voice Memos, email and WhatsApp.

Separately authorized public excerpts may have a different publication period, stated in your written permission.

Payment, consent and other business records may need to be retained longer to meet legal obligations or address disputes. Information that is no longer needed is securely deleted, destroyed or made non-identifiable.

You may request earlier deletion. If information must be retained, the reason will be explained.

Protecting your information

The practice uses reasonable safeguards appropriate to the sensitivity of the information, including protecting devices and accounts and limiting access to legitimate service, administrative or legal needs.

No internet transmission or storage system can be guaranteed completely secure.

If a privacy incident occurs, the practice will take steps to contain it, assess the risk and notify affected individuals and the appropriate regulator where required by law.

Information may be disclosed where required or permitted by applicable law.

Access, correction and consent withdrawal

You may request access to your personal information, correction of inaccurate information, deletion or withdrawal of consent for an optional use by emailing qhhtbysine@gmail.com.

Reasonable identity verification may be necessary. Please do not send identification documents unless requested through an appropriate process.

Access requests will generally receive a response within 30 calendar days. If a lawful extension or exception applies, you will be informed.

If a request cannot be fulfilled in full, the practice will explain the applicable limits. Withdrawing consent necessary to provide a service may affect whether that service can continue; this will be discussed with you.

Changes to this policy

This policy may be updated when services or information-handling practices change. The effective date identifies the current version. Where a change requires new consent, that consent will be requested.
